Executive Assistant Key Roles:

This integral position supports Principal of the special events projects at RGI through both creative and administrative tasks - as well as plays an essential role in the functionality of the company by supporting senior leadership through various administrative tasks.

In a nutshell - this position eases the load on our company Principal, allowing her to function as efficiently as possible with her focus on priority internal and client-facing matters.

To this end you day to day duties may include:

Schedule and manage all necessary arrangements internal and external meetings including: logistics, setting agendas, distribution of materials and recording minutes

Coordinate professional and personal international and domestic travel and ground arrangements. Research and negotiate best fare, hotel and car rental rates when possible

Organize and prioritize large volumes of information, emails and calls that need immediate attention for Principal

 Maintain Principal's calendar and contact database

Manage new business pipeline and follow ups

Draft and edit communications

Manage supply levels and administrative tasks relating to office functionality

Errand such as picking up lunch, dry cleaning, etc

Research and coordinate meeting space and dinner locations for off-site executive meetings and personal occasions

Responsible for special projects, both professional and personal - such as: company beach retreat yearly, company anniversary party, company holiday party, client appreciation events and mailings, brand management and expansion projects, brand public relations projects, business development projects, family dinners/celebrations, birthday/holiday gifts, family holiday cards, vacations, etc.

Schedule personal appointments and reservations for Principal and family members included when needed as well (medical/dental, personal care, lunch/dinner)

Key Qualifications:

MUST be available to travel, sometimes on short notice with company principal - passport preferred

Reliable personal transportation strongly preferred

Must be able to comfortably life 40 lbs and stand for up to 4 hours

Hold an Events, Design, Hospitaliy, PR or similar field of study BA along with 2 years industry experience (we will consider non-BA holders with demonstrated real world industry experience, and certain internships towards 2 years industry experience)

MUST have functional mastery of PPT, Xcel, Word, Google Business Tools (Drive, Forms, etc) social media platforms (FB, Twitter, Insta, Pinterest, Tumblr, Vine) - photo editing/enhancing software or apps familiarity is a plus - we are a Mac office

You are a self-starter who takes initiative, anticipates client and company needs and solves problems proactively

You can juggle and prioritize multiple projects and responsibilities

You are a deadline meeting machine

Day to day you will be working directly with  project leadership to move the needle forward on our client's accounts - this may include researching and comparing venues, researching and comparing support vendors (catering/entertainment/printing/décor/audio visual services/photographers etc) setting agendas and taking notes for client meetings, preparing reports, attending walkthroughs and rehearsals, supporting event design and mapping, coordinating mailings (such as event invitations) gathering data (such as attendee RSVPs and guestlists) updating records and timelines for projects and maintaining organization of each project.

Key Qualifications:

Key Roles and Responsibilities:

This integral position supports the public relations projects at RGI through both creative and administrative tasks. These duties extend to both RGI's client accounts as well as RGI's brands.

Day to day you will be working directly with RGI company and project leadership to move the needle forward on our client's accounts - this may include copywriting for press releases or marketing materials as well as drafting copy and creating visuals for social media and blogs and advertising, creating media materials, pitching interviews and coverage as well as scheduling speaking engagements and assisting with production of content such as videos, photoshoots or non-traditional marketing initiatives and writing communications plans. Special attention will also be paid to supporting the content and marketing as well as administration relating to RGI's award-winning yearly small business PR accelerator program, JUMP START! 

  • • Conceptualize, develop and execute exciting results-driven integrated marketing campaigns

  • • Manage multiple clients and projects from conception to completion

  • • Produce and manage timelines, project challenges and ensure deadline and budget adherence

  • • Lead accounts as key client contact and POC

  • Proactively seek out creative marketing/advertising and partnership opportunities for RGI and clients

  • Draft copy and supply collateral

  • Pitch interviews and speaking engagements

  • Lead advertising or media buy campaigns

  • • Extensive knowledge of current events, industry news and trends to effectively communicate big ideas and trends to clients

  • Pitch story ideas and concepts to garner media coverage

  • • Support new business process including idea contribution, research and proposal preparation  

  • • Work directly with client teams planning and conceiving social content

  • • Work with copywriters and designers to execute content, editing and proofing thoroughly before posting to maintain high quality standards

  • • Create and maintain content calendars for clients, encompassing major themes, day-to-day content, industry events and other trending topics

  • Publish and promote blog content

  • Draft and distribute press releases and track results

  • • Create social initiatives that meet brand objectives along with increasing web traffic, boosting sales, producing ROI and/or demonstrating measurable consumer awareness

  • Manage short or long form video projects

  • Pull, sort and present highlight images

  •  • Run, maintain and provide recommendations on the latest and greatest social listening platforms and be able to analyze, measure and report on engagement with social programs, tracking weekly and monthly performance to make recommendations based on results

 

Key Qualifications:

  • Must have demonstrated experience conceptualizing and executing press, social and traditional marketing campaigns

  • Must be a deadline meeting machine

  • Hyper creative, hyper organized - you anticipate challenges and creatively overcome them

  • You prioritize being passionate and knowledgable about the projects you represent

  • • Minimum of 4 years of communications experience with an agency background in integrated marketing, public relations, advertising or digital communications. Proven work experience as a social media strategist or social media manager a plus

  • • Bachelor's degree, preferably in English, Journalism, Advertising, Communications or Marketing

  • • Excellent written communication skills, as well as organizational and interpersonal skills

  • You have established press contacts

  • • Strong understanding of social media ecosystem and how insights, paid, earned and owned social media inform, involve and amplify one another

  • • Demonstrated knowledge of social media trends, sharing new tactics and ideas with clients and internal teams
